The insurance period is considered to be the total duration of periods of payment of insurance premiums, as well as taxes. Users of 1C:ZUP often have questions about how to enter data into the program to calculate sick leave and calculate length of service. We'll tell you how to do this.

The process of entering data on length of service for sick leave in “1C: Salary and Personnel Management”

When entering a document called “Sick Leave”, the configuration will automatically calculate the insurance period for the calculation. When a specific employee and the start date of his disability are entered into the document without user participation, the document form will be filled in with data on the length of service and the percentage of his payment.

Moreover, if necessary, we can change these details directly in the document. Of course, it is much easier to enter them once during the process of hiring a specialist, so as not to re-check information about his work experience when entering each sheet of incapacity for work. Data on length of service is contained in the directory of individuals in the work activity table. This is where you need to enter information when hiring an employee.

You can activate the directory of individuals in 1C:ZUP in the following ways:

  1. Select the “Enterprise” tab on the desktop;
  2. In the main menu, click on the “Enterprise” item, then “ Individuals»;
  3. If, when entering a “Sick Leave”, length of service is not considered because data about it is not entered, you can open the directory of “Individuals” directly from the document.
  • click “Open” (the magnifying glass picture on the right next to the “Employee” attribute);
  • the employee directory form will appear;
  • here we click on the hyperlink “More details about an individual”;
  • the form of the element in the directory of individuals corresponding to the selected employee will open;
  • at the top there is a “Labor activity” button, you need to click it;
  • A form will appear in which the experience is entered.

If it turns out that the specialist’s total experience is displayed, but does not affect the percentage of sick leave pay, then to calculate the experience you will need to enter data about another experience. To do this, click on the experience table general using the right mouse button. In the activated menu, click on “Add”.

Select “Insurance length of service for payment of sick leave” in the new line of the column “Type of length of service”. Press Enter on the keyboard and enter the start time of the internship in the “Reference dates” column. Now you need to click “OK”, close the forms of directories of individuals and employees and refill the sick leave with the start date of incapacity for work.

Now you can see that the length of service and the percentage of sick leave will be changed.

Next time you won’t need to repeat this entire operation: the length of service will be calculated automatically.

Additional features

Nowadays you can find extensions for “1C:ZUP” on the Internet that add a special button to the work activity form, with which you can calculate the length of service according to work book. To do this, you will need to select the desired type of experience in the table of information about experience, enter the periods according to the work book in the table of places of work and click on “Calculate experience.”

Such extensions work in “Salary and HR Management” version 3.1 on the “1C:Enterprise 8.3” platform. You can add an extension using the configurator. To do this, you need to create a new empty extension and load the downloaded modification into it.

The temporary disability benefit depends on the length of the insurance period and the amount of funds received will be:
1. Insurance work experience of more than 8 years - 100% payment in full.
2. Insurance work experience from 5 to 8 years - 80% payment of funds.
3. Insurance work experience from six months to 5 years - 60% payment
4. The insurance work experience is less than six months - the benefit is paid in the amount of the minimum wage for a full calendar month.

Also, benefits can be paid in an amount not exceeding the minimum wage using wage coefficients accepted in the given region and locality.

In the “Sick Leave” document, the insurance period for calculating sick leave is calculated, and the “1C Salary and Personnel Management” program will do this process automatically.

When filling out an employee’s document and entering the start date of his disability, information about the length of service is automatically filled in to calculate the sick leave and the percentage of its payment.

Details for entering “Number of years” and “months of experience” are available for editing and their correction is possible directly in the document, but it is better to enter all the necessary data the first time when hiring a new employee and not check information about the employee’s length of service when entering each certificate of incapacity for work . The accountant can also change or enter the percentage of payment from earnings.

How to do it?
All information about length of service can be viewed and edited in the “Individuals” directory, in the “Labor Activity” tabular section. Also, when hiring a new employee, data on the employee’s length of service should be entered into this directory for the system to fully operate. If this is not done, the system may incorrectly calculate the employee’s length of service or not calculate it at all.

Where is the “Individuals” directory located in the program?

3. If an error occurred when entering the “Sick Leave” document and the employee’s length of service is not considered or data on general insurance was not entered at all, then you can go to the “Individuals” directory directly from the document.

To do this, you need to click on the “Open” button, which can be found on the right side of the “Employee” attribute. After this, the “Employees” directory form will open.

Insurance experience— this is the total length of time for paying insurance premiums and (or taxes).

Depending on the duration of insurance period Temporary disability benefits are paid:

  • if the insurance period is 8 years or more - in full (100%);
  • if the insurance period is from 5 to 8 years - in the amount of 80%;
  • if the insurance period is from six months to 5 years - in the amount of 60%;
  • if the insurance period is less than six months, then the benefit is paid in an amount not exceeding the minimum wage for a full calendar month.

In districts and localities in which regional coefficients are applied to wages in accordance with the established procedure, benefits are paid in an amount not exceeding the minimum wage taking into account these coefficients.

How to do it?

Information about length of service is stored in the directory “Individuals”, in the tabular part “Labor Activities”, and when hiring a new employee, the HR department employee enters data about the employee’s length of service into this directory.

How to find the “Individuals” directory in the program?

There are several ways.

1. From the main menu of the program, select “Enterprise” -> “Individuals”.

2. On the user’s desktop, the “Enterprise” tab.

3. If you already enter the “Sick Leave” document and discover that the employee’s length of service does not count, because data on the general insurance experience has not been entered, you can go to the “Individuals” directory directly from the document.

To do this, click on the “Open” button (the button with a magnifying glass on the right side of the attribute) of the “Employee” attribute. The “Employees” directory form opens:

As you can see, the total length of service for Akimova’s employee has been introduced, but it does not affect the percentage of sick leave payment. To calculate length of service, you must enter information about another type of experience.

Right-click on the “General Experience” table and select “Add” from the context menu that opens:

In the new line in the “Type of experience” column, select the type of experience “Insurance experience for payment of sick leave”:

Press “Enter”, enter the start date of the internship in the “Start date” column:

Click “OK”, close the directory forms “Individuals” and “Employees”, and refill the start date of incapacity for work on the sick leave certificate .

As you can see, the length of service and the percentage of sick leave payment have changed.

Let's consider step by step instructions on the implementation, calculation and payment of sick leave benefits in 1C 8.3 ZUP 3.1.

This is done so that the next time he is absent, nothing is credited to him.

If an employee returned to work but did not immediately provide sick leave, it is possible to issue a leave for an unknown reason. When he brings sick leave, you should start reflecting and calculating it in the program.

You can enter sick leave into 1C:ZUP using the “Salary” menu.

First of all, in the header of the document we indicate that this sick leave for September 2017 is for employee G. E. Baltzer, who works in the Kron-Ts organization.

On the “Main” tab, the period of illness is indicated. Let's say our employee suffered from the disease in the period from September 18 to September 28, 2917. Below we will indicate the reason. Please note that the payment amount may vary depending on the reason. In our case, this will be a common illness, and the accrued amount will directly depend on the length of service and the average salary of G. E. Baltser.

Please note that in the figure above, the program informs us that our employee has no completed work experience. This urgently needs to be corrected, because otherwise the calculations are likely to result in an error. This can be done by clicking on the appropriate hyperlink.

You will see a window with the length of service settings for this employee. Make all the necessary settings and click on the “OK” button. In our case, Beltzer G.E.’s experience was 7 years, 7 months and 24 days. All that remains is to enter the sick leave in 1C ZUP 8.3 and move on to the next step.

Sick leave calculation

Since in our case a common disease was chosen, the amount of the final payment directly depends on the length of service and average earnings. In some cases average earnings needs to be adjusted.

For example, an employee goes on sick leave after a long maternity leave. In accordance with current legislation, in such cases, at the request of the employee, the billing period. By default it is set to the previous two years.

To change data on average earnings, click on the green pencil to the right of the corresponding field.

In the window that opens, you can not only change the billing period, but also adjust the income received for certain months. In addition, this form gives you the opportunity to add help with previous place work.

The calculation of sickness benefits itself is carried out on the “Payment” tab of the “Sick Leave” document.

We indicate that the benefit will be paid for the entire period of illness from September 18 to September 28, 2017. Please note that the payment percentage is set automatically based on the specified length of service. In cases where the employee’s insurance experience is less than 5 years, the percentage will be 60. From 5 to 8 years – 80%, and over 8 years – 100%.

In our case, Baltzer G.E.’s experience was 7 years, so the payment percentage will be 80%. To simplify the example, we will not introduce any restrictions or benefits.

Due to the fact that our employee’s illness period was 11 days, two lines automatically appeared in the tabular section on the “Accrued” tab. The first 3 days are paid at the expense of the employer, that is, by our organization. All remaining 8 days are paid by the Social Insurance Fund.

By the way! In the near future, 1C ZUP will have the ability to accept sick leave certificates electronically.

Payment of sick leave

Let's move on to calculating the wages of employee G.E. Baltzer for September, part of which he was on sick leave. We filled in all the data automatically. In the figure below you can see that the amount of time worked is 9 days less than the norm. The program automatically subtracted the period of illness minus days off.

We will immediately pay your wages through the cash register. It is included as accrued wage, and the sick leave entered into the program. In total, 45,476.60 rubles were payable.

In the payslip for employee Baltzer G.E. for September 2017, you can see three lines in the accruals. This reflects the salary, the amount of sick leave paid at the expense of our organization and at the expense of the Social Insurance Fund.
